This notice is placeholder wording. HGV Hire Centre is checking it against the data processing agreement with the company that runs our systems, and will make it final after that.

Who we are

HGV Hire Centre hires out vans, lorries and recovery vehicles from Dale Works, Brewery Lane, Dewsbury, WF12 9HU. We decide what happens to the personal information described here, which makes us its controller under UK data protection law.

What the enquiry form collects, and why

When you send an enquiry we keep what you type into the form: your name, your company, your phone number and email address, what you would like to hire, when, and your message. We use it to answer you, give you a quote and, if you go ahead, arrange the hire. We record your enquiry in our hire system as a possible new customer, and if you gave an email address we send you a note to say it arrived.

We also keep the internet address your enquiry came from and the type of browser that sent it. We use these only to turn away automated spam, and to limit how many enquiries one address can send.

Our lawful basis is taking the steps you have asked for before a hire contract, and our legitimate interest in keeping the form free of spam.

What the booking form collects, and why

When you book a lorry we keep the same details as an enquiry: your name, your company, your phone number and email address, and your message. We also keep the lorry you chose, the day you would like the hire to start, how many months, the weekly rate we quoted, and your operator licence number. We hold the lorry for you while our office checks your booking, and use your details to confirm or decline it and, if we confirm it, to arrange the hire.

Our office checks your operator licence number against the public register of goods vehicle operators kept by the Driver and Vehicle Standards Agency. We keep the internet address and browser a booking came from for the same reason as an enquiry's, and the lawful basis is the same too.

Paying by card

If you pay the deposit and set-up fee by card when you book, you type your card details into a payment page run by Stripe, not into this website. We never see or keep your card number.

We give Stripe the amount, the registration of the lorry you chose, a reference for your booking, and your email address if you gave one. Stripe tells us whether the payment went through, and we keep that, the amount, and Stripe's references for the payment and your saved card. Those references cannot be used to charge you without Stripe.

Stripe's own privacy policy, at stripe.com/privacy, covers what it does with your card details. Our lawful basis is taking the steps you have asked for before a hire contract.

Who sees it, and where it is kept

Our own staff see it, and so does the company that builds and runs our hire system and this website, which acts only on our instructions. Our systems and their backups are on servers in London. We send emails, including the note that your enquiry arrived, through Mailgun from its European Union region. If you pay by card when you book, Stripe takes the payment and sees the details listed under "Paying by card".

This website sets no cookies and uses no analytics or advertising trackers. We never sell your information.

How long we keep it

We keep an enquiry for as long as we need it to answer you and follow it up. If it leads to a hire, it becomes part of that hire's records, which we keep for as long as the law requires us to keep business and accounting records. Once we delete something, our encrypted backups of it are gone within 30 days.

Asking us to remove it

You can ask us at any time for a copy of what we hold about you, to correct it, or to delete it. Email us at rentals@euro-truck.co, call the office or write to us at the address below. We will answer within one month, and delete it unless the law requires us to keep it.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
